How to prepare your lots for the SUPER AUCTION

If you are thinking of selling during the next Super Auction, here are the rules to follow while preparing your lots.

Stop feeding your fish 48 hours before the auction. This measure will reduce fish dejections in the bags and maintain an ammonia concentration below the toxic level.
The use of plastic bags with rubber bands, glass jars with air tight lids and even buckets is allowed. The container MUST be adapted to the size and number of fish for sale in the container. Ziploc® type bags are not appropriate for liquid transport and will not be allowed at the Super Auction. A verification system will be in place to inspect the lots before they are put on display on the display tables. If a lot is judged inappropriate due to a container too small or without enough air, it will be refused. Plastic bags will be sold on site, for a fee of 1.00$ each, in order to correct lots that do not fit the acceptable criterias.
Water must cover the fish, even when the bag is lying on its side. A ratio of 75% air and 25% water insures an optimal oxygenation level for the comfort of the fish. At this point, air is more important than water. A water conditioner can be added for benefits.
ALWAYS USE FRESH AIR to fill the bag. Never blow air from your mouth to fill your bags. If you are having difficulties, use an air pump. Use rubber bands to close bags. The bags must be well inflated, like balloons, to be efficient.
Double-bag your fish if they have teeth or sharp spines.
For medium to large size fish or agressive fish, only put a single fish per bag or use buckets.
For very big fish, use plastic or glass containers with an air tight lid that will be sold along with the fish. The cover must be easily removed so potential buyers can admire your fish.
To avoid your fish getting caught in bag corners, double-bag them while reversing the second bag as to round bag corners.
If your fish are used to living in an aquarium filled with plants, add a few stems to provide comfort/shelter from stress.
Each bag must be well labelled. It is the responsibility of the seller to provide as much information regarding the needed care for the fish as possible. Examples of sales tags are available on the S.A.M.’s website ( french sales tags ) and must be applied to the bag beforehand.
If your lot contains more than one bag, make sure they are well grouped and numbered (ex. : 1 or 3, 2 of 3, 3 of 3). Use tape to hold them together.
For transport, please use styrofoam boxes or camping coolers in order to maintain temperature.
No fish hybrid from different species will be accepted.
Plants must be placed in plastic bags but without water. They can go without it for a few hours.
For hardware, please specify the shape they are in. Do they need repairs? Are there any missing pieces? Be honest, buyers will appreciate and you will keep a good reputation as a seller.
If you follow these rules, you will have better chances selling and obtaining a good price, while respecting the animals from our hobby.
Any broken packaging rules will force you to repackage before being allowed to put your lots up for sale. (You will be able to receive advice and help on site). A verification service has been set up by the Super Auction supervisors and will have the power to exclude any lot breaking these rules. Plastic bags are on sale in lots of 10 and 20 and per unit on site the day of the auction.

The Société d’Aquariophilie de Montréal organizes twice a year, in Spring and Fall, a Super Auction. They are normally held on the last Sunday of April and the last Sunday of November. Subject to approval if there is a party or other impediment that day and also depending on the availability of the room. The official date will be announced a few weeks before the Super Auction.

The Super Auctions allow members and non-members to dispose of extra plants and fish they have as well as accessories in good condition that they no longer use, allowing interested aquarists to obtain things that we are not found in pet stores and especially at very competitive prices.

Everything related to the aquarium hobby can be brought in to the Super Auction of the Société d’Aquariophilie de Montréal.

It is important to note the following points relating to the registration of lots and revenue distribution.

Pre-registration will be carried out using the electronic form (FORM).

RULES REGARDING THE SUPER AUCTION

REGISTRATION AND IDENTIFICATION OF LOTS

Registration of the lots received before Saturday at noon preceding Sunday of the Super Auction will allow a revenue split of 75% seller / 25% SAM.
After noon on the Saturday preceding the Super Auction avec before 11am on the day of the Auction itself, the revenue split will be 60% seller / 40% S.A.M.
All pre-registered lots must be brought in on the day of the Super Auction, Sunday, between 10am and 11:30am.
All unregistered lots received after 11:00am on the day of the Super Auction will be automatically refused.
All pre-registered lots received after 11:30am on the day of the Super Auction will be automatically refused.
The lots with a minimum sales price will automatically be charged commission if they are not sold.
People having pre-registered their lots before the Wednesday, 11:59pm, preceding the Super Auction will receive a bonus of 3 tickets for the participation draw during the Super Auction.
A maximum limit of three (3) exactly identical lots per seller and a grand total of 6 identical lots per species and/or aquarium gear per person has been set. See Appendice A for detailed information. All pre-registered lots not following this rule will trigger a warning to the seller, allowing him to remove the lot(s) before the tags printout. Otherwise, the exceeding lots will be considered donations to the S.A.M.
Once on site, pre-printed sales tags will be given to the seller for each lot registered. The tags will hold information regarding the lot number, the display table number, the lot name, the seller’s name and email address and minimum sales price if applicable. Each seller is responsible to verify if the sales tag is accurate for the article for sale at the auction. The seller will apply the tag to the item as mentioned in the document provided. If the tag need modifications, the seller must go to the designated supervisor that will provide a corrected tag. Any manual correction of a tag will be disregarded by the auctioneers. The auctioneer will only consider the original information on a tag in order to prevent errors.
For every missing lots that was not brought by the seller, the seller will have to hand in the extra tags so the lots can be retired for the auction system. There will be a maximum number of five (5) retired tags by seller, considered reasonable, on which no fee will be applied. Sellers retiring over 5 tags will be charged a fee of 1.00$ per tag exceeding the allowed limit of 5. See Appendice B for further detail.
Once the tags have been attached to the lots, the seller will have to bring them over to a designated table for inspection by specially appointed supervisors. Once the lot has been inspected and approved, it will be placed on the corresponding table by the appointed personnel. Any lot improperly packaged will be returned immediately to the seller in order for the seller to correct the situation. Please take appropriate time to read « How to prepare your lots for the SUPER AUCTION » in order to comply with the packaging rules.
Lot inspection by buyers will start at 10:00am, along with break periods during the auction.

RULES DURING THE SUPER AUCTION

Sellers are not allowed to bid on their own lots.
The starting price is 2.00$ unless a minimum price has been stated by the seller. The minimum price must be printed directly on the tag by the supervisor and no manual writing will be considered.
The auctioneers will only consider sellers that have raised their buyer number at the beginning of the lot auction. You must maintain your buyer number raised and visible by the auctioneer if you want a chance to win the lot. If you lower your number, you will not be considered anymore for the lot.
A person raising their number during a lot auction, after the start, will be ignored.
You must evaluate the lots you want to bid on adequatly during the appraisal period. You can question the sellers if you desire since all lots sold during the Super Auction are final sales. The Société d’Aquariophilie de Montréal cannot be accountable for the state and quality of the lots.
The Société d’Aquariophilie de Montréal cannot be held responsible either for damage incurred during the Super Auction or items going missing.
All unsold lots must be taken back by the sellers at the end of the Super Auction. The supervisors will dispose of unclaimed lots at their discretion after that.
The sales profits owed to sellers that are not members of the S.A.M. must be paid on site at the end of the Super Auction or by mail. Members of the S.A.M. can be paid on-site or at the following S.A.M. meeting or by mail.

ETIQUETTE TO FOLLOW

When selling accessories, plants and/or fish, do not forget to sell lots that have the same quality as what you yourself would look for.

The Société d’Aquariophilie de Montréal cannot be held accountable for the state and quality of lots during the Super Auction.

APPENDICE

Appendice A

Explanation of the rules regarding the maximum of (3) three exactly identical lots by the seller or (6) six identical lots per species and/or gear: By (3) three exactly identical lots, we mean 3 lots of fish of the same variety and species, 3 aquariums of the same size, 3 water heaters of the same brand and capacity, etc. But the limit of (6) six is for the same species, size or brand depending on the product. For example: Someone bringing in Pterophyllum scalare (black, white, silver and koi varieties), will be limited to 6 lots with a maximum of 3 lots from a single type/color. Someone brining gear like 100 watts Tetra heater, 100 watts Marineland heater, 100 watts Fluval heater would be allowed 6 ots of heaters in total but with a maximum of 3 of the same brand only. This goes the same for any lots. The goal of this is in order to insure sellers to get a decent price from their lots since if too many identical lots are present, sales prices drop dramatically. It will also allow the Super Auction to be completed in the alloted time frame since identical lots tend to increase in numbers throught the years.

Appendice B

Supplemental details regarding sales tags for lots that were registered but not brought for auction: the goal is to sensitize sellers that register lots without bringing them but also to reduce costs assumed by the S.A.M. producing the sales tags, along the eco-responsible side of it. It is important that each seller takes appropriate time to register lots that will be brought to the Super Auction. Sales tages that aren’t handed back in to the supervisor, including those on unsold items during the Super Auction, will be considered not handed in. If after verification the lot has been indeed sold, corrections will be made by the supervisor in order to credit the seller having been charged for the tag.

Remboursement des frais de déplacement pour Super encan, convention, exposition ou autre événement touchant l’aquariophilie

Les frais de déplacements sont de $50.00 par voiture qui contient au moins 3 membres en règle de la S.A.M., pour aller dans un évènement sanctionné de la S.A.M. Les événements qui sont automatiquement sanctionnés sont le Super Encan de l’OVAS et de L’ARAQ, qui ont lieu au printemps, et ce jusqu’à un montant de $250.00 par événement. S’il y a plus de 5 groupes, le montant de $250.00 maximum sera divisé par le nombre de groupe. Une demande écrite, émail ou verbale doit parvenir au Trésorier de la S.A.M. en indiquant les trois membres qui feront parti du groupe, avant l’heure de la tenue de l’événement. Le trésorier confirmera avoir bien reçu la demande. Le chèque de remboursement sera fait au nom du demandeur.

Pour les autres évènements, que cela soit au Canada ou au USA, il faut qu’une demande écrite ou par émail soit faite auprès du Secrétaire et/ou du Trésorier de la S.A.M., avec la liste des 3 membres minimums qui y participeront, incluant le demandeur. La demande doit être faite au moins 12 heures avant la tenue de l’événement. Les autres membres du C.A. seront mit au courant qu’une demande a été faite, et cela sera inscrit sur l’ordre du jour du prochain C.A. Chaque groupe de 3 personnes devront faire leur demande, dans les mêmes conditions, avant l’événement. Toutes les demandes non-reçues dans les délais seront automatiquement refusées. Celui qui recevra la demande, confirmera que la demande a bien été reçu auprès du ou des demandeurs. Au prochain conseil, le C.A. décidera si l’événement sera sanctionné ou pas, et cela à leur discrétion. Les frais remboursés restent les mêmes que les évènements déjà sanctionnés et le chèque de remboursement sera fait au nom du demandeur.

Préparation des lots pour le Super Encan

Si vous pensez vendre au prochain Super Encan, voici la réglementation à suivre pour la préparation de vos lots.

Arrêtez de nourrir vos poissons 48 heures avant l’encan. Cette mesure réduira les déchets dans vos sacs et maintiendra le niveau d’ammoniaque sous la concentration toxique.
L’utilisation des sacs de plastiques et élastiques, pots en verre avec couvercles hermétiques et même des chaudières sont acceptées. Le récipient doit être adapté à la grosseur et au nombre de poissons à vendre. Les sacs de type Ziploc® ne sont pas appropriés pour le transport de liquide et ne seront pas acceptés à l’Encan. Un système de vérification de la qualité des lots sera en place pour inspecter les lots avant qu’ils ne soient mis sur les tables de l’encan. Si un lot est jugé inapproprié dû à un contenant trop petit ou n’ayant pas assez d’air se verra refuser. Des sacs de plastique seront en vente sur place, au cout de 1.00$ qui permettront d’apporter les correctifs nécessaires.
L’eau doit recouvrir le poisson, lorsque le sac est couché sur le côté. Un ratio 75% air, 25% eau, assure un niveau d’oxygénation optimal pour le confort de vos poissons. À ce stade l’oxygène est plus important que l’eau. Un peu de conditionneur peut être ajouté.
UTILISEZ DE L’AIR FRAIS. N’expirez pas dans vos sacs. Si vous avez de la difficulté, utilisez une pompe à air. Utilisez des élastiques pour refermer les sacs. Ceux-ci doivent être bien gonflés, comme des ballons, pour être efficaces.
Doublez vos sacs, si vos poissons ont des dents ou des épines.
Pour les poissons de moyenne et grande taille ou de nature agressive, ne mettre qu’un poisson par sac ou utiliser des récipients de grande taille (chaudière).
Pour les très gros poissons, utilisez des contenants de plastique ou de verre avec couvercle hermétique, qui seront vendus avec les poissons. Le couvercle doit s’enlever facilement, afin que les éventuels acheteurs puissent admirer vos poissons.
Pour éviter que les poissons se réfugient dans les coins. Doublez vos sacs, mais inversez-en le sens (c’est-à-dire le premier tête première dans le second).
Si vos poissons sont habitués à vivre dans un aquarium rempli de plantes, ajouter quelques tiges dans le sac cela leurs apporteront du réconfort et/ou un abri.
Chaque sac doit être bien identifié. Il est de la responsabilité du vendeur de fournir le plus d’information possible sur la maintenance de son poisson. Des exemplaires d’étiquettes à remplir par le vendeur sont disponibles sur le site de la Société ( étiquettes ) et doivent être collées sur les lots.
Si votre lot comporte plus d’un sac, assurez-vous qu’ils soient bien groupés et numérotés (ex : 1 de 3, 2 de 3, 3 de 3). Utilisez du papier adhésif pour les maintenir ensemble.
Pour le transport, utilisez des boites de styromousse, ou des glacières de camping pour maintenir une température adéquate.
Aucun poisson provenant d’une hybridation de 2 espèces ne sera accepté.
Les plantes doivent être mises dans des sacs de plastique mais sans eau, elles peuvent s’en passer pour quelques heures.
Pour les équipements, veuillez indiquer leur état. Ont-ils besoin de réparation? Manquent-ils des pièces? etc.… Soyez honnêtes, les acheteurs vous remercieront et vous garderez ainsi une bonne réputation.
Si vous suivez ces indications, vous aurez de meilleures chances de vendre et d’obtenir un bon prix tout en respectant le bien être de vos petits compagnons.
Tout manquement important aux indications d’emballage nécessitera un ré-emballage avant de pouvoir être mis sur les tables de vente. (Vous pourrez recevoir des conseils et de l’aide sur place). Un service d’inspection des lots a été créé par les responsables du Super Encan et pourra faire exclure les lots qui ne respecteront pas les règles.
Des sacs de plastiques sont en vente en paquet de 10 ou 20 sacs et à l’unité sur place le jour du super encan.
